Camp Operations Lead

Role Overview
The Camp Operations Lead is the on-the-ground manager responsible for executing the OLI Annual Camp plan and keeping day-to-day operations running safely, smoothly, and on schedule. This role provides hands-on support for OLI Management, staff, chaperones, and volunteers, leads pre-camp training & onboarding, and ensures processes & policies are followed. This Lead resolves issues in real time and will lead post-camp wrap-up and debriefs, including their documentation.
This is a fixed-term, high-tempo role with significant on-site presence at Tim Hortons Children’s Camp (264 Glen Morris Rd E RR#2, St George, ON N0E 1N0) from May 2 to 17 inclusive.
Key Responsibilities
Pre-Camp Readiness
- Participate in training on OLI’s camp processes, safeguarding practices, and escalation protocols.
- Learn and actively apply the “how we run camp” system: daily cadence, checklists, forms, comms channels, and handoffs.
- Conduct readiness walkthroughs (spaces, schedules, equipment, transitions, staffing coverage).
- Support staff/chaperone/volunteer onboarding sessions and ensure all required documentation is complete.
- Help prepare the “day-of toolkit” for camp delivery: huddle/debrief agendas, issues log, quick reference guides, and site maps.
On-site operations leadership
- Ensure key operations run on time and consistently: transitions, meals, headcounts, sign-in/out, curfew/quiet hours, transportation and scheduled sessions.
- Maintain an issues log, assign owners, and drive resolution.
- Coordinate across teams so program staff can focus on the youth experience.
Staff, chaperone, and volunteer coordination
- Provide clear direction and support for on-site adults (staff/volunteers/chaperones).
- Manage real-time coverage changes when someone is late, absent, or needed elsewhere.
- Reinforce professional standards, conduct expectations, and safeguarding requirements.
- Address conflicts quickly and appropriately; escalate when needed.
Process adherence, safety, and incident response
- Ensure camp policies and procedures are followed.
- Act as the operational point person for escalations (non-clinical), coordinating with paramedics/mental health supports/security as required.
- Ensure incidents are documented correctly and routed through the established escalation pathway.
- Help maintain a calm, consistent environment for youth and staff, especially during disruptions.
Site logistics and coordination
- Coordinate with facility/site staff on room issues, space readiness, supplies, signage, and day-to-day logistics.
- Ensure supplies and equipment are staged and available where and when needed.
- Support logistics for off-site days or special events/activities.
Communication and stakeholder updates
- Provide timely updates to the planning lead: what’s on track, what’s at risk, what needs a decision.
- Keep staff aligned through consistent messaging and clear expectations.
- Support community-facing updates only as directed by the planning/communications lead.
Post-camp wrap-up
- Lead structured debriefs with staff/chaperones/program leads and service providers to capture lessons learned.
- Support closeout tasks: inventory returns, lost & found, outstanding incident follow-ups, and documentation completion.
- Produce a short post-camp summary (what worked, key issues, recommended changes for next year).
Qualifications
Required:
- Minimum of 5 years of experience in program management, preferably in a non-profit or educational setting;
- Experience working with Indigenous communities and/or understanding of Indigenous cultures and traditions;
- Experience working in a camp or large group offsite/adventure setting;
- Strong leadership and team management skills;
- Effective writing skills for various audiences;
- Excellent communication and interpersonal skills;
- Proven ability to develop and implement strategic plans;
- Strong organizational and project management skills;
- Clear criminal background check;
- Ability to travel as required.
Preferred:
- Bachelor’s degree in Education, Social Work, Non-Profit Management, or a related field;
- First Aid/CPR (or willingness to obtain prior to camp)
- Experience in youth safeguarding, trauma-informed practice, or culturally safe programming.
- Valid driver’s licence.
Positions Details
- This is a fixed-term role with a defined pre-camp training/readiness period, full-time on-site delivery during camp, and post-camp closeout period.
- Evening/weekend work is expected during camp, and the days are long ( can be from 7:30 am to 10:00 pm some days);
- On-site presence required May 2 to 17; limited offsite work may be possible during ramp-in/ramp-out, depending on needs.
- Compensation: $1500 / week (5-week term)
- Term Dates: April 20, 2026 - May 22, 2026
Reporting and Key Relationships
- Reports to: Chief Strategy and Sustainability Officer
- Works closely with: CEO, Sr. Director of Operations, Program Managers
Compensation
$1,500.00 per week
